From temporary document search to provable sustainable management, let assessment preparation become the starting point for system improvement

What EcoVadis evaluates is not a beautifully written questionnaire, but the quality of the management system of the evaluated companies on the four major themes of environment, labor and human rights, business ethics and sustainable procurement. Enterprises need to use documents that are consistent with the scope of the evaluation, are still valid, and can prove actual implementation to explain how policies, actions and results form a closed loop.

Many companies start looking for information across departments only after receiving invitations from customers. Problems such as the legal person being evaluated does not match the scope of the document, the same document is reused, the policy lacks goals and responsibilities, the action has no evidence of implementation, KPI coverage is insufficient, or the questionnaire answers and attachments are contradictory.

Startrust assists companies to first confirm the scope of evaluation and the context of the questionnaire, and then take inventory of the current situation based on four major themes, major criteria and seven management indicators, and establish a process for document comparison, gap improvement, questionnaire answering, pre-submission quality inspection and scorecard correction actions. The focus of the coaching is to make the answers reflect the company’s real system, not to fill in fictitious content, nor to promise scores or medal results.

  • Confirm the assessed legal person, location, activities, scale and industry classification
  • Inventory based on environment, labor and human rights, business ethics and sustainable procurement
  • Compare policies, accreditations, measures, certificates, coverage, reports and 360° Watch
  • Create questions, options, files, page numbers, ranges and validity periods to compare
  • Enhance policy quality, action evidence, KPI and report coverage
  • Establish improvement and next-round preparation plans based on scorecard priorities

Why do companies need to prepare for EcoVadis assessment?

International customers understand supplier management capabilities through evaluation

Purchasers can use the EcoVadis scorecard to view the strengths, improvement areas and relative performance of suppliers’ sustainability management. Evaluation results may affect supplier classification, customer communications, contract renewal or improvement requirements.

The questionnaire is customized according to the company situation

The scope of the assessment will be adjusted based on the company’s activities, scale and operating locations, and sustainability criteria relevant to the company will be selected. Therefore, common answers on the Internet or document lists from other companies may not be applicable to this questionnaire.

Document quality directly affects whether the answer can be adopted

Merely checking boxes without appropriate evidence, or documents that are out of date, insufficiently scoped, missing dates and company names, may render claims unsupportable. Enterprises need to understand the logic behind how files are accepted, rather than just pursuing the number of attachments.

Major external events will also enter the assessment

EcoVadis’ 360° Watch analyzes positive and negative external information related to the rated company. If a company only organizes its internal policies but fails to deal with violations, disputes and remediation records, it may still affect the results and medal qualifications.

The evaluation results can be converted into a management improvement list

The scorecard will present each topic score, strengths and areas for improvement. If companies can link improvement projects with responsibilities, deadlines, resources and evidence, there is no need to start over again for the next round of preparation.

What does the EcoVadis assessment assess?

The EcoVadis method is designed to measure the quality of the sustainable management systems of assessed companies. The assessment is customized based on the company’s activities, size and location, and examines whether the system is complete and evidence-based from the three management pillars of policy, action and results.

Four sustainable themes

TopicsCommon Management Issues
EnvironmentEnergy and greenhouse gases, water, pollution, materials chemicals and waste, product use and end-of-life, etc.
Labor and Human RightsWorking conditions, employee health and safety, social dialogue, career training, discrimination and harassment, child labor, forced labor and external human rights, etc.
Business EthicsCorruption, anti-competition, information security and related ethical issues
Sustainable ProcurementSupplier environmental and social performance, risk assessment, contract, investigation, audit and improvement

The actual criteria and importance of activation are determined by the rated company questionnaire, and not every company answers exactly the same questions.

Three management pillars

Policy describes what the company is committed to, what topics and scope it covers, who is responsible, what quantitative goals are set, and how they are reviewed.

Action describes what measures the company actually implements, what systems or recognitions are introduced, and how the measures cover the rated scope.

Results explain how the company tracks KPIs, reports performance, handles external events, and continues to improve based on the results.

How to understand the seven management indicators?

Policies: Policies

Review whether formal policies cover major issues, scope, responsibilities, commitments, quantified targets and review mechanisms. A statement of principle is usually not enough to demonstrate complete management direction.

Endorsements: External Initiatives and Principles

Review whether the company participates in external initiatives or commitments with substantive requirements. Joining an initiative serves as a piece of evidence but does not replace internal policies, actions and performance.

Measures: measures

Review the actual procedures, training, risk assessment, control, appeals, audits and improvements implemented by the company. Documentation needs to prove that actions have taken place, not just future plans.

Certifications:Certificates

View valid management system or other third-party certificates. It is necessary to confirm the connection between the certified legal person, location, activities, standards, validity date and scope and this assessment.

Coverage: Action coverage

For large companies that apply, it will also need to indicate how many employees, operations or locations the measure covers. The case of a single factory may not represent the entire scope of assessment.

Reporting:Report

Review KPIs, reporting periods, scope, methods, target progress and external communications. Data should be linked to policy objectives and actions, rather than just scattered photos of activities.

360° Watch: External information

EcoVadis analyzes positive and negative events from public sources and evaluates them by impact topic, severity and other methodological factors. Organizations need to establish evidence of incident monitoring, root cause, remediation and prevention of recurrence.

Why is EcoVadis assessment scope important?

Assessments may be made on a single legal entity, an operating unit, or a group-wide group that meets certain criteria. Whether parent company policies, subsidiary certificates, or other site reports support the answer depends on whether the document clearly covers the scope being assessed.

Industry classification will affect the questionnaire

The enterprise’s ISIC activity classification will affect the enabled topics and weights. If the registration information does not reflect the main activities, you should first confirm it through the platform process instead of assuming that the question is not applicable.

Size and location will affect requirements

Staff size and operating country risks will affect the depth of the questionnaire and major topics. Enterprises need to refer to the questionnaire confirmed by the platform and should not directly apply other people’s answers.

File coverage must be consistent with the scope of assessment

Evidence of policies, reports and measures must clearly indicate applicable units and coverage. Data from only one location, without enterprise-level implementation or proof of adequate coverage, may not support the overall statement.

What characteristics should effective supporting documents have?

Authentic and formal

The document should come from the actual management process of the enterprise and have company identification, name, date, approval or responsibility information. Documents that are temporarily produced for evaluation and only have answers to questions or lack management purposes are difficult to prove the system.

Attachments should support the specific policy, measure or KPI that is checked. If the document content is too general, even if the name is relevant, it may not prove the practice.

Clear scope

Describe the legal entities, locations, employees, activities, products, or suppliers covered. Group documents need to show that the assessed enterprise is indeed applicable or covered.

Still in acceptable period

Policies, reports, certificates, audits and action documents each have timeliness considerations. Enterprises should confirm according to the current questionnaire and platform instructions, rather than assuming that historical documents are permanently valid.

Convenient analysis and traceability

The file name, page number, language, version and answers should be clearly related. Before submitting, please confirm that there are no passwords, damaged pages, blank pages, or unreadable scanned content.

What is the relationship between EcoVadis points, medals and badges?

EcoVadis total score and theme score reflect the quality of the sustainable management system at the time of evaluation; medals and badges must also meet the current qualification rules.

As of July 2026, the medals are based on the percentile rankings of all rated companies in the last twelve months: platinum, gold, silver and bronze correspond to the top 1%, top 5%, top 15% and top 35% respectively. Eligibility will also be affected by conditions such as minimum scores in each topic, specific industry activities and 360° Watch.

Medals and badges are not certifications, product labels or EcoVadis’ endorsement of corporate products and services, nor can they be used for product-level sustainability claims. Scoring, qualifications and external use rules will be updated regularly, and enterprises should refer to the official rules at the time the scorecard is released.

Which companies are suitable for seeking coaching?

  • Enterprises that receive an invitation for an EcoVadis evaluation from a customer for the first time
  • Companies that have completed assessments but lack common rules on documents and answer methods
  • Companies that have areas for improvement in their scorecards and wish to establish cross-department action plans
  • Enterprises with complex group, subsidiary and factory files
  • Companies with weak supplier management, sustainable procurement or human rights data
  • Companies that already have ISO certificates or sustainability reports but don’t know how to map the questionnaire
  • Enterprises with many major policies but lack of action coverage and performance data
  • Companies that want to transform the evaluation process into a normal and sustainable management system

Frequently Asked EcoVadis Preparation Questions for Enterprises

Start looking for documents after receiving the questionnaire

The department does not have fixed document responsibilities and versions, resulting in a large number of collections before the deadline, and it is still impossible to confirm the scope, timeliness and consistency of answers.

Mix policies, actions and results

There are only policies but they claim to have been fully implemented, or there are only photos of activities but lack of procedures and goals, and it is impossible to present a complete closed management loop.

There are many files, but none of them correspond to the topic.

Repeatedly uploading entire reports or a large number of institutional documents without marking page numbers and connections makes analysis more difficult and makes it easy to overlook real gaps.

The group documents did not state that the rated company was applicable, or the certificate only covered other factories, resulting in inconsistency between the rated scope and the evidence.

Temporarily create a file to check the answer

Establishing documents only for evaluation without formal approval, execution and tracking not only lacks evidence, but also fails to form real management capabilities.

Only pursue medals and ignore theme shortcomings

In addition to the overall score, individual subject performance, significant negative events and qualifications may also affect the results. Improvements should address major risks and low-scoring topics first.

No continuous improvement after scorecard receipt

If there are no responsibilities, deadlines and evidence for improvement areas, the same gaps will be repeated in the next round of assessments.

How does Startrust help companies prepare for EcoVadis assessment?

1. Assessment scope and questionnaire confirmation

Confirm the legal person, location, activities, scale, industry classification, platform questionnaire and customer schedule, and establish the boundaries of this work.

2. Inventory of four major themes and major principles

Use the questionnaire to interview the responsible departments on the topic and take stock of policies, actions, results and major external events.

3. Quality inspection of documentary evidence

Check the document’s company name, date, scope, approval, validity, page numbers, coverage and direct association with options.

4. Gaps and priority improvements

Distinguish between evidence that can be compiled immediately, systems that need formal approval, measures that need to be actually implemented, and KPIs that require time to accumulate, to avoid treating unfinished matters as the current status.

5. Comparison of questionnaire and attachments

Create a reference list of questions, options, answers, documents, page numbers, and instructions to ensure consistency and avoid duplication or irrelevant attachments.

6. Quality review before submission

Check the answer logic, attachment restrictions, language, version, sensitive information and file readability, and confirm the authenticity by each responsible department.

7. Scorecard analysis and improvement plan

After the results are released, each theme, strength and improvement area is analyzed, and corrective actions are established based on risks, score impact, resources and timetable.

8. Annual system and capability transfer

Establish document master file, KPI update, policy review, external event monitoring and next assessment schedule to reduce repeated preparations.

Coaching content and deliverables

The actual delivery content depends on the scope of the assessment, questionnaire, document maturity and whether a scorecard has been confirmed. Common results include:

  • EcoVadis assessment scope and registration information check
  • Four major themes, major principles and responsible department matrix
  • Gap analysis of policies, actions, results and seven indicators
  • Document master, validity period, scope and quality checklist
  • Title, options, attachments, page numbers and description comparison manuscript
  • Suggestions for improving policy quality, quantitative targets and review mechanisms
  • Improvement list of measures, coverage, KPIs and reporting data
  • Scope review of certificates, audits and third-party documents
  • 360° Watch incident, remediation and prevention evidence inventory
  • Check for consistency, attachments and sensitive information before submission
  • Scorecard analysis of strengths, improvement areas and priorities
  • Corrective action plan, responsibilities, deadlines and evidence requirements
  • Annual document management and next round of evaluation schedule
  • Cross-departmental education training and question-answering workshops

EcoVadis scores, percentiles, medals and badges are determined by EcoVadis in accordance with the methodology and qualification rules at the time the scorecard is published. Consultancy can improve the quality of systems and evidence preparation, but it cannot replace evaluation or guarantee results.

What can companies get after importing?

The scope of evaluation is consistent with the caliber of the document

Each department clearly knows which legal persons, locations and activities are covered by this assessment, reducing the risk of using invalid evidence.

Convert from file stack to evidence map

Each answer can be traced back to the official document, page number, responsibility, scope and validity period, improving the efficiency of review and annual updates.

From answering questions once to improving the system

Policies, actions and performance gaps are turned into responsibilities and action plans, so that the evaluation results can be returned to the daily management of the enterprise.

Switch from passive patching to continuous preparation

There is a fixed rhythm for certificate expiration, KPI update, policy review and incident remediation, and the next round will no longer start from scratch.

More responsive to customer and supply chain needs

The compiled system and evidence can also support customer questionnaires, supplier audits, sustainability reporting and internal management.

Why choose Startrust?

Pay attention to the real system and do not aim at packaging answers

Based on actual corporate management and verifiable evidence, we clearly distinguish between current status, improvements and projects that have not yet been established.

Familiar with cross-department materials on four major themes

Can assist sustainability, human resources, environmental safety, legal affairs, information, procurement and finance to establish a common document standard.

Handle content, scope and evidence quality simultaneously

Not only confirm “whether there are documents”, but also check whether the documents cover the assessed enterprise, whether they are valid and whether they can directly support the answer.

Convert scorecard to executable route

Organize work based on significant risks, improvement priorities, system dependencies, and data accumulation periods rather than allocating resources evenly.

Can connect sustainable procurement and performance management

The assessment gaps can be further linked to ISO 20400, RBA, responsible minerals, sustainability reporting and systematic KPI management.

FAQ

Is EcoVadis assessment a certification?

no. EcoVadis provides corporate sustainability management system ratings and scorecards. Medals and badges are not certifications or product labels, and do not mean that products or services are more sustainable.

Can a consultant guarantee points or medals?

cannot. The results are determined by EcoVadis based on current methodology, document analysis, 360° Watch and eligibility rules. Consultants can help clarify scope, improve systems, organize real evidence, and reduce preparation errors, but they do not control the final score.

Do I need to create a new document for each answer?

It is not necessary, nor recommended, to temporarily create documents for answering questions that lack practical management purposes. Existing formal policies, procedures, records and reports can support relevant options based on their true content; real system gaps should be approved and implemented first.

Does ISO certificate definitely improve EcoVadis score?

Valid and scope-related certificates can serve as a piece of management evidence, but cannot replace policies, measures, coverage, KPIs and external event management. Whether the certificate is adopted still depends on the scope of assessment and the current method.

Can group policies be used for subsidiary assessment?

This can be used when the document clearly covers the rated subsidiary and it can be demonstrated that the policy has been applied or deployed. If there is only the name of the parent company and no scope of application or evidence of implementation, the support may be limited.

Can the file be in Chinese?

The languages and file processing methods accepted by EcoVadis should be subject to the current instructions of the platform. If important documents are not in a language supported by the platform, the company can prepare appropriate translations or explanations, but the meaning of the original documents must not be changed.

What should I do if there is a negative event on 360° Watch?

First confirm the incident facts, scope of impact and corporate responsibility, and then prepare evidence for investigation, root cause, remediation, stakeholder communication and prevention of recurrence. Don’t just deny it with a statement, and don’t hide major events that have been made public.

How long is the scorecard valid?

EcoVadis officials currently state that scorecards and their medals or badges are generally valid for twelve months from the date of issue. The actual sharing permissions, qualifications and update arrangements shall be subject to the current rules of the enterprise subscription and platform.

How long does an assessment usually take?

The official provides a general release time reference, but the actual timetable will be affected by the reviewed materials, demand and platform arrangements. Enterprises should plan according to the dates displayed on the platform, and it is not appropriate for consultants to promise a fixed completion date.

If an enterprise has received an invitation from EcoVadis, or wants to plan the next round of improvements to the existing scorecard, Startrust can help first confirm the scope of the evaluation and the systems that need the most reinforcement.
